ORGANIZATION SUMMARY:
AFS Intercultural Programs is a volunteer-based multi-national, non-governmental organization dedicated to peace through the promotion of worldwide intercultural learning and living experiences primarily for high school students. AFS volunteers are instrumental to fulfilling the mission of the organization principally through local, community-based involvement in hosting, sending and fundraising programs.

JOB TITLE: Regional Hosting Coordinator
LOCATION: Twin Cities Metro
SALARY: $31,000 TYPE: Full Time / 35 hours DEADLINE: 12/14/2007

PRIMARY DUTIES AND RESPONSIBILITIES:
The Regional Hosting Coordinator develops and implement strategies to build and expand the strength and continuity of our volunteer hosting teams. Hosting teams operate within geographically defined AFS Area Teams at the local level, in order to meet the host family recruitment goals and priorities of the organization, including compliance to AFS, government and CSIET regulations and standards.

The Regional Hosting Coordinators broad responsibility is to collaboratively create a plan, implement it and monitor progress to ensure that each of the Coordinators assigned Area Teams has a sufficient base of trained and registered local volunteers, and sufficient recruitment activity to meet the Teams annual qualitative and quantitative hosting goals.

Responsibilities:
Development of the Volunteer Network
1. With the Regional Hosting Manager, ensure that hosting-related Area Team leadership positions are filled, supported and functioning effectively. This includes identifying future leadership volunteers and working with other regional staff and Area Team leadership to develop leadership succession plans.

2. Assist in developing the volunteer capacity to support students and families in their AFS hosting experience, including working with the Participant Support Staff and volunteers to ensure the recruitment and training of liaisons for all hosted students.

3. Create an action plan for volunteer recruitment and training that meets programmatic goals specific to assigned Area Teams and local units.

4. Communicate to volunteers the tools available for their use and the methods of recruitment available.

5. Implement, facilitate, and monitor implementation of volunteer recognition programs and activities for hosting volunteers.

Planning
1. Assess and document the strengths and weaknesses of the hosting programs in each Area Team, including the quality of programs and potential for growth.

2. Work with Regional Hosting Program Manager and Area Team volunteer leadership to ensure the development and implementation of a Winter and Summer host family recruitment plan to meet the volunteer and host family recruitment needs in the team. The plan must include a numerical volunteer recruitment goal for the volunteer hosting team in each cycle, with benchmarks for on-time placement. The plan should also address any host family and cluster activity recruitment needs related to Sponsored Programs participants-including Visiting Teachers.

3. Develop and implement a plan in each Area Team, to ensure school relations are maintained or improved, including dedicated follow up to specific customer service feedback.

4. Ensure that volunteers are adequately deployed and trained so that AFS quality standards, national and local regulations and CSIET requirements are met including receipt of complete host family screening documentation, orientation of families and hosted participants, liaison assignments, training and monthly contact.

Recruitment
1. In conjunction with the hosting volunteers in the assigned Area Teams, develop a host family recruitment action plan for each Area Team.

2. Facilitate growth in hosting program numbers and capacity within each Area Team

3. Enter data into Lead Management and OPUS systems, maintain records, and track results of all initiatives used to recruit host families and liaisons

4. Provide timely and accurate information for volunteers, host families and students on the AFS programs

5. Develop contingency plan for possibility of host family and student recruitment shortfalls, including direct staff-led recruitment of host families, when necessary.

6. Remain well-informed about all AFS programs hosting programs, including keeping up with program changes.

7. Assist participant support staff and volunteers in identifying replacement host families.

School Relations
1. Actively recruit new AFS schools and help build quality school relationships and a strong volunteer network in support of new schools or current schools without adequate volunteer support to insure organizational growth

2. Recruit and train volunteers, as needed, to support school related recruitment and volunteer development efforts

3. Work with schools in gathering information on placement realities and international exchange student policies and policies regarding credit for Americans Abroad

4. Gather and document information on high school international exchange student policies in the Region

5. Keep data about schools in assigned Area Teams up-to-date in the Schools module

6. Proactively cross-sell sending programs and volunteering during field trips and ensure leads and intelligence gathering is shared with the regional sending staff team members.

Administration
1. Assist Regional Hosting Program Manager with monitoring of chapter/Area Team progress against goals and communicate achievement to goal to teams

2. Serve as member of the Regional Team, including staff meetings and trainings and other duties as required

3. Provide detailed Field Trip reports and accurate detailed expense claims in a timely fashion.

4. Ensure requests to update volunteer, chapter and/or Area Team records are followed up in a timely fashion including changes of address and volunteer registration

5. Serve periodically as Duty Officer or back-up Duty Officer for AFS-USA

EXPERIENCE AND QUALIFICATION REQUIREMENTS:
Bachelors Degree and at least two years of related work experience

Experience in volunteer, community or organizational development

Sales/Marketing experience

Working knowledge of word processing, spreadsheet, database management in a Windows environment

Good verbal and written skills

Ability to manage multiple priorities

Excellent organizational skills

Cross-cultural experience referred

Ability to work with persons of diverse backgrounds

Commitment to the mission and principles of AFS Intercultural Programs

Valid drivers license

ADDITIONAL INFORMATION:
Work Conditions:
The Coordinator may work in the Regional Service Center or as an outposted staff member. Office hours are 9:00AM-5:00PM, however in work with volunteers and in recruiting, evening and weekend hours should be expected. When weekend work is necessary, comp time is provided as per AFS policy. Evening hours are handled with flex time. Travel in this position is up to 30% time. Vacations need to be scheduled in accordance with the AFS-USA leave policy for field staff.
